Overview of Integrated Ylopo Tools

Home Search Site - Your Ylopo lead conversion site that is connected to your MLS IDX Feed(s). It’s used for generating new Social and PPC leads, remarketing to existing leads, and engaging your database with listing alerts and seller alerts. Home Search site URL example: search.youryloposite.com, search.youryloposite.com/seller. Leads who register on your home search site are automatically brought into Follow Up Boss and added into Ylopo Stars for lead nurturing. User website activity is tracked in Ylopo Stars and added to leads profiles in Follow Up Boss. Learn more about the home search site.

Agent Home Search Site (optional) - A great option for teams using Ylopo! When Agent Home Search sites are used, your leads and contacts are associated with the assigned agents home search site when clicking on remarketing ads, listing alerts, etc. The Agent Home Search Site, also referred to as the agent subdomain, is an exact copy of your main home search site with a slightly different URL, URL example: agentfirstname.youryloposite.com. Another difference is instead of the generic team information or broker, the assigned Agent information is listed in the presented by section. Leads who register on agent subdomains are automatically assigned to the agent in Follow Up Boss, added into Stars and associated with the agents home search site. Branded Site - Your Ylopo website used to inform prospects about you or team, your services and the communities you service. This page also hosts additional agent tools for lead conversion. This site is hosted on the Squarespace platform making it is highly customizable, and integrates with your home search site. Branded site URL example: youryloposite.com, youryloposite.com/tools. Leads who register on your branded site are automatically brought into Follow Up Boss and added into Ylopo Stars. Learn more about the Branded Site.

Ylopo Stars - Stars is Ylopo’s database marketing tool that integrates with your CRM and leads profiles. You’ll access Stars via a leads Stars link on leads profiles in your CRM. Stars is where you will manage outgoing communication from Ylopo such as listing alerts, AI texting, and view the lead experience on your home search site. Users in Stars are eligible for Ylopo remarketing. Ylopo generated leads will automatically be in Stars, you’ll work with Ylopo to import all of your existing eligible leads and other lead sources into Stars. Learn more about Stars.

AI Texting - Your Ylopo text assistant reaches out to new leads and can re-engage active leads via SMS , responding instantly and maintaining conversations to keep them engaged. AI texting can ask relevant questions to determine if a lead is serious about buying or selling. The AI text features includes a combination of drip texting, behavioral texting and Automated ISA AI text. Behavioral texting is included in your Ylopo platform tech fee, drip and Automated ISA AI texting is an additional cost. Leads in Stars are eligible for AI texting. Listing Alerts/Seller Alerts - Automated email notifications sent to leads that come from the assigned agent (pond lead if lead is unassigned in a pond) in FUB. This is a huge piece of your database marketing with Ylopo to keep people engaged with your brand on your home search site. User engagement and activity with these are tracked via Stars. You’ll manage and create these alerts in users Stars Profiles. Learn more about Listing Alerts and Seller Alerts

Ylopo Tags - Ylopo heavily utilizes its own sets of tags to help segment your database, optimize your workflows and automate outreach in your CRM. Our tags are automatically applied to leads who register on your Ylopo ads such as Ylopo_Adwords for Google PPC generated leads, AI_ENGAGED for leads responding to Ylopo'‘s AI texts, and YPRIORITY for important activity on your Ylopo home search site. Use tags for lead routing, categorizing/organization, smartlists and automations in FUB. See our full tag catalog and learn more about Ylopo tags.

Remarketing Ads (optional) - A cost effective and integral part of your marketing strategy for staying in front of your database. Remarketing Ads can include seller ads, buyer ads, and branded video ads. When your lead clicks on a remarketing ad, they are directed to your home search site to begin or continue searching, and will automatically be logged in if they've already registered on the site. If a lead has not previously registered on your site, we'll ask them a series of registration questions when they arrive. Learn more about remarketing.

AI Voice (optional) - For an additional monthly charge, our AI Voice robot can call your newly generated Ylopo leads through Follow Up Boss for a total of 14 attempts over 90 days. This AI Voice bot helps by reaching out to your new leads, saving you time and providing you with more dial attempts and transfers your leads who want to speak with an Agent. Lead Flow

Ylopo Lead Sources and Lead Distribution

Image: Ylopo marketing and website generated lead sources are added to lead flow and are being distributed based on the distribution rules set in Follow Up Boss.

Ylopo Generated Leads are delivered to your CRM and distributed according to your Follow up Boss lead distribution rules. Ensure these are set up for your business needs.

Ylopo lead sources may include: Ylopo Buyers, Ylopo Seller, Open House (Ylopo), Direct Connect FB, Direct Connect PPC, Branded Website, Ylopo LSA, Ylopo Adwords, Ylopo Facebook

You can also route leads based on Ylopo tags.

Note: Ylopo Action Plans can be found in the Action Plan Library to be edited and utilized by our clients where needed.

IMPORTANT: Do not make changes to your AI Voice Lead Distribution Settings

For clients utilizing AI Voice clients, Ylopo will set up lead flow/distribution for AI Voice eligible lead sources based on your provided preferences and set up.

Note: Adding or removing agents from an AI Voice calling pond or AI Voice team inbox does not disrupt AI Voice calling, however changing the pond leader would. If you need to make changes to your distribution settings or pond owner, please submit a change request to our AI Voice team via this form here.

Custom Field

Ylopo Stars Link - Integration and Ylopo Agent Tools

Image: A link to Ylopo Stars is present, making the lead eligible for remarketing, AI engagement, website activity synching, etc. Agents can access the Stars link to edit listing alerts, take over AI texting conversation, etc.

Stars is Ylopo’s database marketing tool that integrates with your CRM, giving you a powerful way to engage, nurture and track home buyer and seller activity from your database. Stars will capture information as users engage with your Ylopo websites and tools and syncs important information like tags, activity and AI text engagement to the leads profile in Follow Up Boss.

Leads generated by Ylopo are automatically imported into Ylopo Stars. You will access the Stars profile via each persons profile in your CRM. Users in Stars are eligible for Ylopo remarketing. You’ll work with Ylopo to import all of your existing eligible leads and other lead sources into Stars. Learn more about Stars.

IMPORTANT: Import your existing leads and leads from other sources into Ylopo Stars

Complete a mass lead import to import your existing database into Stars
Complete the auto-import form for your other buyer and seller lead sources you wish to have automatically imported into Stars and nurtured by Ylopo.
Leads can be manually added through Stars

An additional Ylopo integrated custom field added to your leads profile in Follow Up Boss is the Ylopo Seller Report Link. A seller report link exists when the lead is receiving a seller report in Stars. DO NOT click this link as this is a link intended for your leads and is added here so you can use as a merge field when sending mass emails in Follow Up Boss.

Stage

AI Texting and AI Voice Calling Management

A users Stage in Follow Up Boss will be synced to Stars; updating the stage in Follow Up Boss syncs the stage to Stars. AI Texting and AI Voice will work your eligible stages and blacklisted from working the others.

Example: AI texts and AI is programmed to work the lead stage, AI engagement stops when agent changes to active client stage.

IMPORTANT: Every client uses different stages and stage names. Know which stages your Ylopo AI can work.

During your Implementation phase, you will advise Ylopo which stages to blacklist for your AI. You can review or change these at any time by emailing support@ylopo.com.

Recommended stages to block for AI Text: Stages you have existing relationships with like Appointment Set, Hot, Warm, Active, Past, Closed, etc.

Recommended stages to block for AI Voice: All except Lead or similar, like attempted contact.

Assigned Agent

Sender, Agent Notifications and “Presented By”

Image: The lead is assigned to a pond (Shark Tank pond) where Matt Croteau is the pond leader. The current listing alerts and/or seller alerts are going out from Matt until an agent claims a lead.

The assigned agents information will be synced to Stars and is used to send listing alerts and seller alerts.

Optional: Auto-assignment for agent subdomains - Ylopo Support can set up your account so that leads from an agent's subdomain are auto-assigned to the corresponding agent in Follow Up Boss.

The AI text assistant will reach out on behalf of the assigned agent.

Optional: In place of the AI text reaching out on behalf of the agent, the AI Text assistant can be assistant to a persona, ex - the “ABC Realty Team’s assistant.”

The assigned agent will receive Ylopo’s Priority Notifications and AI engagement for their assigned leads.

For leads assigned to a pond, listing alerts and seller alerts will be sent from the Pond Owner until claimed by an agent.

Optional: For leads triggering a priority alert, the priority alerts are sent to the pond owner. Can be programmed to send to all agents assigned to Pond, please email support@ylopo.com to enable this feature.

Activity

Activity synched from Ylopo to Follow up Boss

Image: The lead recently engaged with their AVM report (seller report) via Ylopo seller alert. The lead has viewed four properties on the home search site. The addresses of the three most recent properties are visible and summarized in the activity section.

Engagement with your Ylopo ads, AI text, AI Voice, home search site activity, listing and seller alerts, and priority alerts will be will be captured in Stars and synced to the leads profile in Follow Up Boss.

The activity section will provide insight into the price range, home specs and recently activity visited on your home search site.

The all section will show you recent lead activity, engagement with your ads, AI texting and highlight important activity with Priority lead events.

Some notes can also direct to you the users Stars profile to utilize the Agent Tool Kit or manage your AI text feature.

Ylopo AI Texting

Ylopo AI Text Assistant

Stars reads and syncs the leads stage in Follow Up Boss. AI can text leads in eligible Stages chosen by clients.

Leads being auto-imported into Stars are also eligible for AI texting.

Both outbound texts sent from the AI, and inbound texts received from the lead, will be included on the lead's profile as a message in Follow Up Boss as they happen in Stars. Agents will access the leads Stars profile to step in as the AI or manage the AI texting.

When someone responds to your AI text assistant, the assigned agent will receive a text and an email notification.

Within the leads profile in Follow Up Boss, a relevant AI text tag is applied in the leads tag section and the conversation is added to the leads activity section. These tags include:

AI_NEEDS_FOLLOW_UP - Your text assistant has found an opportunity for the agent to follow up on ASAP

AI_ENGAGED - Lead replied to your assistants text

AI_NOT_INTERESTED - The lead has replied with a negative sentiment to your assistants text and has automatically opted out of further communication

AI_OPT_OUT - The lead responded unfavorably, using any language to “stop,” we will automatically opt the lead out of all future texting

Ylopo AI Voice

AI calling to new Ylopo Generated Buyer Leads

For an additional monthly charge, AI Voice can call your newly generated Ylopo leads through your Follow Up Boss; 14 attempts over 90 days. Calls are transferred to agents, a call back is scheduled from our AI Voice bot who follows up on the call back scheduled date, and leads are tagged with appropriate dispositions if we are unable to reach them or they do not want to be contacted by an agent.

Calls from AI Voice will be logged from 1 single user chosen by client to use in FUB and AI Voice notes will be added about the call attempts and conversations with leads directly on leads profiles.

Ylopo AI Voice tags will be used to indicate each call disposition, ex. VOICE_MAIL when we called and a voicemail was reached. An AI_VOICE_NEEDS_FOLLOW_UP tag will be added to the leads profile when the agent needs to take an action on the lead.

Set up for AI Voice in Follow Up Boss depends on a single agent or team set up. AI Voice will only call eligible lead stages. For teams using Ponds, AI voice can call leads in the AI Calling pond in eligible stages until claimed by an Agent. Each users account will be set up according to your own AI Voice call settings.

Ylopo Notifications

AI Text Replies Notifications

When someone responds to your AI text assistant, the assigned agent will receive a text and an email notification. Learn more about priority lead notifications.

Priority Notifications

When someone’s home search activity heats up, or they reach out to you for help or more information, we will flag them as a "Priority Lead." These alerts serve as an event for the agent to take action on and connect with the lead.

Ylopo will send the assigned agent a priority text, email, a priority note is added on the leads profile and a priority task is created in Follow Up Boss. The lead will also be tagged with the “YPRIORITY” tag.

If using ponds, the pond owner will receive the priority notification. If you wish all agents assigned to a pond to receive the priority notification please email support@ylopo.com so we can enable this feature.

Ylopo AI

Manage AI text and Monitor AI Voice

This optional but optimal integration allows you to manage your AI text outreach and get insight into AI Voice calling for every lead.

YLOPO AI TEXT section allows you to Pause/Resume AI texting or Stop/Enable Drip and behavior texts as managed in Stars.

YLOPO AI VOICE section allows you to view when the last call by AI Voice took place, the last disposition of the call, cadence of the next call or lead eligibility for AI Voice.
