Learn how to convert leads, utilizing AI, from our Ylopo Coaches!

CRM Best Practices


Know your configured AI Voice Settings: Each AI Voice set up is unique to each of our clients. It is important to know what settings you have chosen for your AI Voice configurations.

IMPORTANT: If you need to make ANY changes to your AI Voice settings, please reach out to AIVoice@ylopo.com before doing so as a change in our setup could prevent us from calling your leads.

  • Stages - Like our AI Texting feature, we will only allow AI Voice to call certain stages specified by you, example: Lead, Attempted Contact, etc. IMPORTANT: Do not allow AI Voice to call stages where you have already spoken with the lead, example: Hot, Warm, Cold, Active Client etc.

  • Sources - Currently, only newly Ylopo generated leads can be called by AI Voice, you must advise which Ylopo lead sources we may call

  • Ponds (Team setups) - AI Voice Call Center is where your new Ylopo leads to be called by AI Voice will be routed, unless you have specified it be called another name. 

    • There are other ways to set up your AI Voice routing, please reach out to the AI Voice team for inquiries on the additional set up options.

Team Inbox Number: If a team set up, save your Follow Up Boss’s “AI Voice Call Center” team inbox number in your cell phone so you know when a call is being transferred from our call center. 

IMPORTANT: For single Agents, the incoming caller ID from AI Voice transfers will be the leads phone number.

Action Plans: Set up action plans for your Ylopo lead sources in your CRM

CRM Notifications - Enable CRM notifications for important events in Follow Up Boss, like new lead notifications and pond activities.

Smartlists: Use smartlists to identify your AI Voice leads that require action and work these smartlists DAILY to check for new activity

  • Ylopo will create 2 AI Voice smartlists for your FUB account: “AI Voice Needs Follow Up” and “AI Voice Callback Scheduled” these two lists will be critical in making sure you are not missing any important AI Voice activity

  • Two additional smartlists “AI Leads In The Call Center Cadence” and “Leads That Completed The Call Center Cadence” will be available to add in your from FUBs best practice smartlist section

Automations: Use automations and action plans for important AI Voice activities

Call Center Notes: Read the notes in the leads profile to see any important information captured by AI Voice during the call with the lead

Stage: Once you are in communication with the lead, ensure you update the leads stage to the most appropriate and (if on a team) claim the lead from the pond.

IMPORTANT: Do not change the stage of a lead or claim the lead from the AI Voice Call Center pond until you have communicated with the lead, this can prevent our call center from continuing to call the lead if no communication was made.

Working leads: Call alongside our AI Voice Call center when you see leads who appear in your daily prospecting smartlists

  • Since AI Voice will be calling from Follow Up Boss, the last communication attempt field will be up to date

Ylopo AI Widget: Install the AI widget from the integrations page in Follow Up Boss. This widget provides quick insights into the specific lead’s status within Ylopo AI outreach campaigns.
