CRM Best Practices


Stars Links: Ensure all of your leads are imported into Stars, this will make them eligible for AI texting. 

  • Complete a Mass Lead Import to bulk import users into Stars.

  • Send property searches and a welcome email to create engagement and activity on your website. The lead must first visit your website and be in an eligible texting stage for the AI to engage with mass imported leads.

Stages: For Follow Up Boss, Liondesk, Firepoint, Sierra, Lofty, and Zoho users, know which of your lead “stages” can be texted by AI texting and which stages are blocked. Ylopo will program these settings but we need your preferences as our clients use different stages and stage names. You can send your preferences or check your current settings by emailing Ylopo Support at support@ylopo.com

  • AI texting should only text stages where you need assistance in qualifying or re-engaging a lead, not working people you have relationships with or regularly communicate with. This is why we recommend blocking stages like “hot, active client, closed, past client,” etc. 

  • If on a team or looking to grow a team, create an easy to follow document so your Agents know which stages your AI texting feature is on and blocked for. See Realtor in Residence Matt Croteau’s example.

Smartlists: Create a smartlist where you can view all of your AI Text replies. AI Text tags include AI_EGAGED, AI_NEEDS_FOLLOW_UP, AI_NOT_INTERESTED, AI_OPT_OUT. Check these for new conversations daily.

  • For users who reply “Stop,” or “not interested,” AI texting will be automatically opted out from sending any future texts, unless the lead replies “start” to your AI texting.

  • Use an apology script when you call the lead and reference the conversation between the lead and your assistant. 

    1. Example script from Ylopo Realtor in Residence Barry Jenkins “Hey (lead name), I saw our assistant was texting you and you asked to stop. She won’t be texting you anymore. Sorry about that” Then be quiet. They sometimes say they thought it was automated and you laugh and ask if they are still looking.

Example script from Ylopo Coach Chris Phares “(Lead Name), (your name) from (brokerage/team) here. Just wanted to call real quick and apologize if my assistant was bothering you. Moving is a hard decision, and she’s a little eager to help sometimes.”

AI Text Widget: Follow Up Boss users, install the AI Text widget to easily pause an AI conversation or opt the lead out of future conversations. 

  • To install go to Admin > Integrations > Embedded Apps > Ylopo AI > Install

Stars: Go to Stars to take over the AI conversation. Stay in the persona as your AI assistant to continue to conversation.

If CRM + Ylopo integration allows, auto-Import all non-Ylopo Lead sources into Stars so leads are automatically added to Stars for AI texting, remarketing, property searches, etc.

  • Email support@ylopo.com to advise which lead sources you want auto-imported into Stars

Stars Best Practices


Lead Message Inbox: When you are available, take over the conversation in Stars when a conversation begins. 

  • Remember to stay in the persona as your assistant as this is your assistants cell phone

  • Warm the lead up as the assistant

    • Give the lead the number the agent (you) will be calling from, the time the agent (you) will be calling from and reason for the phone call. This greatly increases the chance the lead will answer your phone call.

Pause: Pause the conversation when you want to stop your AI from continuing the current conversation.

  • This does not stop all future texts, only stops your AI’s texting on the current conversation.

  • The AI will opt itself back in when the lead replies to a future drip or behavioral conversation.

Listing alert Link: Send listing alert link via a text after speaking with the lead

  • “Here is a link to your custom home search on my home search portal <insert listing alert link>. Please let me know if you need me to adjust any criteria or have any questions on the properties you receive.”
